NRG Fitness Terms and Conditions
Your health is your responsibility. The management and staff of this organisation are dedicated to helping you take every opportunity to enjoy the facilities we offer. With this in mind, we have carefully considered what we can reasonably expect of each other.
Our commitment to you
We will respect your personal decisions and allow you to make your own decisions about what exercise you can carry out but we ask you not to exercise beyond what you consider to be your own abilities.
We will make every reasonable effort to make sure that our equipment and facilities are in a safe condition for you to use and enjoy.
We will take all reasonable steps to make sure that our staff are qualified to the fitness industry standards.
If you tell us you have a disability which puts you at substantial disadvantage in accessing our equipment and facilities, we will consider what adjustments, if any, are reasonable for us to make.
Your commitment to us
You should not exercise beyond your own abilities. If you know or are concerned that you have a medical condition which might interfere with you exercising safely, before you use our equipment and facilities you should get advice from a medical professional and follow that advice.
You should make yourself aware of any rules and instructions, including warning notices. Exercise carries its own risks. You should not carry out and activities which you have been told are not suitable for you.
You should let us know immediately if you feel ill when using our equipment or facilities. Our staff members are not qualified doctors, but there will be a person available that has first aid training (during staffed hours).
- If we take no action or let anyone off any breach of this agreement, it will not stop us enforcing the terms of this agreement strictly at a future date.
Gym Programme
All members are entitled to a gym programme.
If you join and decide not to take this gym programme you do so entirely at your own risk. During staffed hours, staff are available to show you how to use equipment safely.
Members aged between 14 - 16 must have a gym programme before using the gym.
Medical Conditions
Please inform us of any medical conditions you have that may affect you in the gym upon signing up.
If your medical conditions change please let us know via email so we can correct your medical information. It is solely the members responsibility to keep us up to date with their medical information
Payments, Fees, Cancellations and Refunds
(GO CARDLESS - Direct Debit) To cancel your membership, you must cancel your Direct Debit with your bank at least 5 working days before your next payment is due. By cancelling your Direct Debit you will stop any future payments leaving your account and your membership will be cancelled. The month you cancel your Direct Debit in will be your final month. It is your responsibility to cancel your own Direct Debit. NRG Fitness cannot reimburse membership fees if you fail to cancel your Direct Debit.
(STRIPE - Debit/Credit Card) To cancel your membership, you must submit a cancellation request to info@nrg-fitness.co.uk with the subject line "CANCEL MEMBERSHIP", please provide your full name, date of birth and confirm you are a member of NRG Fitness Stowmarket - we are not affiliated with any other gyms with similar names. You must submit your cancellation request at least 14 days before your next payment is due. We are unable to take verbal cancellation requests or telephone cancellation requests.
All memberships including prepaid memberships are non-refundable (1 month and 12 month memberships)
Verbal cancellations shall be deemed void, the only way to cancel your membership is through the cancellation of your Direct Debit (GO CARDLESS) or by submitting a cancellation request (STRIPE).
We will advise you by email, giving no less than 14 day’s notice of any rate changes to your membership . It is your responsibility to ensure that we have a current email address for you, as all communication will be via email.
If a Member does not attend and/or use the facilities of NRG Fitness after having purchased a membership they will not be entitled to a refund of any fees paid for any reason.
If a Member fails to pay the membership fees due, NRG Fitness reserves the right to refuse entry to the gym until payment in full of all outstanding fees has been received
If multiple payments are missed we reserve the right to either suspend or terminate your membership or to change your membership to a one month rolling membership, You will be notified of this via email.
Missed payments are subject to a £5 administration charge.
If a Member misses a payment it will be automatically resubmitted for collection unless we have received a cancellation request from you.
Minimum Age Policy
The minimum age to join NRG Fitness is 14. Anyone aged between 14 - 16 must be accompanied by a parent or guardian at all times. Members aged between 14-16 are only permitted to access the club during staffed hours. The ratio of parents/guardians to 14-16 year olds is 1:1.
Anyone aged 16 - 18 can train independently with written consent from a parent or guardian (consent can be emailed to info@nrg-fitness.co.uk)
Anyone under the age of 16 is required to have a gym program before using the gym alone
Student Memberships
Student memberships are only available for students under 25 years of age
If you've joined on a student membership we require proof of your student status.
We accept photographic student cards, university welcome emails as well as some other formats. We require proof within14 days of joining (emailed to info@nrg-fitness.co.uk). Failure to provide proof will mean your membership price is increased to the most relevant full priced membership.
If you are under the age of 18, proof is not required.
The minimum age to use the facility during unstaffed hours is 16.
Student memberships may require reconfirmation. We will contact you via email to reconfirm your student status. Failure to reconfirm will see your membership price is increased to the most relevant full priced membership.
QR Code abuse
We have a zero tolerance policy on QR code sharing (scanning other people into the gym using your personal QR code or sending your personal QR code to another person)
You are responsible for keeping your QR code secure and confidential at all times.
Use of QR codes is monitored: In the interests of the safety and security of all our members, use of QR codes and access is monitored and individuals using QR codes may be asked to provide proof of identification and/or show us the QR code within their app.
What we will do if we think your QR code has been misused: Should we believe that your QR code has been used by another individual or individuals we will conduct an investigation. We will: (a) inform you, via email, that we believe your QR code has been used for another individual or individuals and ask you to provide us with reasonable assistance to investigate the matter; and (b) Your QR code will be temporarily disabled and ( c ) following our investigation we will contact you, via email, to inform you of our findings and our proposed course of action
If we have reasonable grounds for believing that you knowingly sent your QR code to another individual or individuals, allowed unauthorised entry following your entry to the gym (Known as tailgating), or scanned someone else into the gym yourself using your QR code, we will hold you responsible for the conduct of the individual(s) while on our gym premises, and you will liable for any loss or damage we suffer as a consequence of that conduct.
If we confirm the breach there are several things that can happen: a) you are liable to a pay the Day Pass fee of £8 for every unauthorized entry to the NRG Fitness before your QR code is reinstated b) your membership will be canceled immediately.
Each breach will be investigated individually and the course of action we choose to take will be decided on a case by case basis. If you are found to be in breach of these rules on more than one occasion your membership will be suspended immediately.
Staffed Hours
Mon - Fri 6am - 9pm
Sat 8am - 4pm
Sun 9am - 12pm
Bank Holidays: 9am - 12pm
Unstaffed Hours
By attending the gym during unstaffed hours, you are agreeing to our 24-hour terms and conditions outlined on this page.
The minimum age to use the facility during unstaffed hours is 16 if we have received written consent from a parent.
To the best of your knowledge and belief, you are in good health and not knowingly incapable of engaging in either active or passive exercise and that such exercise would not be detrimental to your health, safety, comfort, well-being or physical condition. Further, that you will advise us immediately should your circumstances change.
You agree to attend a gym programme before you use any gym equipment if you are in any doubt of your ability to use the equipment safely.
Using Gym equipment can be hazardous and result in injury in misuse - if you are unfamiliar or uncertain for your own safety you MUST have a programme before using any NRG Fitness equipment.Exercise within your limits and don’t attempt to lift weights you are uncomfortable with.
CCTV is used outside of staffed hours to monitor the gym.
When attending the gym during unstaffed hours you must return all equipment/dumbbells and weight plates once you have finished using them. You must tidy up after yourself during your visit for the benefit of other gym users.
Gym users that attend during unstaffed hours do so entirely at their own risk.
During unstaffed hours we recommend using the gym with a 'gym-buddy'.
Day passes and Free Passes are unavailable during unstaffed hours.
In the event of an emergency, there is a panic button located in the middle of the gym. Upon pressing this button an on-call member of staff is notified and alarms within the building will sound. The on-call member of staff will access the CCTV remotely and organise appropriate assistance. We request that you only press this button in the event of an emergency. Misuse of this button will result in your membership being terminated.
During unstaffed hours you confirm you are able to locate and use the panic button in the event of an emergency.
In the event of hearing the fire alarm during unstaffed hours you agree to make your way to the nearest fire exit and assemble in the rear car park.
Gym users must visit NRG Fitness during staffed hours prior to accessing the gym during unstaffed hours. We will check that your credentials will allow you access during unstaffed hours, explain how NRG Fitness operates during unstaffed hours and answer any questions you may have.
Lost Property
Members and visitors are responsible for their own belongings whilst visiting the club. NRG Fitness accepts no responsibility for the loss or damage to personal property.
Any lost property we find will be held for 7 days, we can not be held responsible for the loss or damage of any property.
Pay As You Go Classes
Non-members can book classes up to 7 days in advance.
Classes can be booked at the gym or over the telephone (01449 775770)
Payment is required at the time of booking.
If you cannot attend a class your bookings is transferable up to 2 hours prior to the start time of the booked class.
Class bookings are non-refundable.
Personal training
Only personal trainers under agreement with NRG Fitness may conduct any business in NRG Fitness.
If we suspect you are using NRG Fitness to conduct business that has not been authorized by us in advance will be asked to stop immediately. If they continue or are found to be conducting business on a separate occasion their membership will be suspended immediately.
All PT sessions are contracted between the personal trainer and the client, NRG Fitness cannot issue refunds or take bookings for PT.
Car parking
The car park is only for use by members while on the gym premises. Cars cannot be left on other occasions and parking overnight is strictly prohibited.
You are required to input your car registration when visiting NRG Fitness. We have two tablets on-site where you can do this, one on a table as you walk in and another on the wall in the reception area before the entry gate.
Once you registration has been inputted you will be granted a 4-hour stay. This must be done on every visit regardless of your length of stay or the time of day you arrive.
NRG Fitness is not responsible for any parking fines.
Users of the car park do so at their own risk. NRG Fitness does not accept responsibility for damage, accident or loss.
Data Protection
CCTV is in operation at all times on the gym floor and the car park, this is monitored by staff and a private security company.
NRG Fitness agrees that any personal data you provide will only be used in accordance with the Data Protection Act 2018.
Corporate Offer
Offer cannot be transferred to another person.
Offer cannot be used in conjunction with another offer
NRG Fitness withholds the right to amend or remove this offer at any time.
Gym Rules
Return all weights and dumbbells
Put all equipment back where it came from
Don’t drop your weights
We do not allow outside equipment to be brought in e.g. Bars, Logs, weights etc (Barbell pads, straps, wrist wraps etc are an exception)
Clean up after yourself i.e. if you use chalk and get it everywhere use the cleaning products provided at the desk to clean it
We do not allow pictures or videos to be taken of others in the gym.
We do not allow members to train or pose shirtless on the gym floor.
Staffed arears are off limits to members. Staffed areas include the area behind the reception desk, the staff room and any other areas with 'Staff Only' signage.
- If someone requests to not be in the background of your video or picture this is to be respected.
If something breaks while you are using it please let a member of gym staff know, alternatively out of hours please write it on the incident form found on the desk.
We have a zero tolerance policy to drug use or perceived drug use on our site.
Anti social behaviour will not be tolerated, this includes loitering within the gym, Gathering in large groups, unnecessary revving of any vehicle etc
You cannot use the gym whilst under the influence of alcohol, narcotics, tranquilizers or any medication or substance which may affect your ability to exercise safely. If it seems like you’re not in the right state to use the facilities properly, then we can ask you to leave.
You must not block or interfere with the fire/emergency or alternative access doors, or tamper with the fire extinguishers (unless in a genuine emergency).
You should never take part in any exercise activity that may be potentially harmful to you or others including (but not limited to) sparring, boxing, martial arts or other forms of contact sport, unless under the supervision of one of the Personal Trainers
Smoking is not prohibited is any area of the club or car park including the use of e-cigarettes or similar devices.
No work boots or work-clothing to be worn in the gym while training.
Clean and suitable footwear must be worn at all times.
You must not discriminate, harass or behave in an aggressive, abusive, intimidating, anti social or threatening manner that may cause distress to staff or other members.
Members and guests are not permitted to bring animals onto the premises (Other than guide dogs).
You are not to engage in any type of criminal behaviour whilst on the premises.
You must not sleep at the Gym.
If you fail to abide by any of our terms and conditions we reserve the right to suspend your membership immediately
